This Privacy Policy explains what personal information I collect, why I collect it, how it is used and stored, who it may be shared with, and the rights you have in relation to your information.
WHO I AMRebecca Barnett Weddings is the trading name used by Rebecca Barnett, a sole trader trading as Rebecca Barnett Wedding Design.

THE INFORMATION I COLLECTThe personal information I collect depends on how you interact with Rebecca Barnett Weddings.
When you make an enquiry through my website, by email or through social media, I may collect information including:
your name;
your pronouns;
your partner's name and pronouns;
your city and country of residence;
your email address;
your telephone number;
your preferred method of contact;
your wedding date, year or preferred season;
your anticipated wedding budget;
your estimated guest numbers;
your wedding venue, where known;
the wedding planning service you are interested in;
how you heard about Rebecca Barnett Weddings; and
any other information you choose to include in your message or subsequent correspondence with me.
If you arrange a consultation, I may also collect information required to schedule and conduct that appointment.
If you become a client, I will collect and process additional information necessary to plan and manage your wedding and provide the services you have booked. This may include contact information, wedding plans, supplier information, schedules, budgets, guest-related information, contracts, invoices, payment records and other information relevant to delivering my services.
Please avoid providing sensitive personal information unless it is relevant and necessary for your wedding planning or for me to provide my services. If sensitive information is required, I will handle it appropriately and in accordance with applicable data protection law.
HOW I COLLECT YOUR INFORMATIONMost personal information is provided directly by you when you:
submit an enquiry through this website;
contact me by email, telephone, WhatsApp or social media;
book a consultation through Acuity Scheduling;
attend a consultation by Google Meet or WhatsApp;
communicate with me during the enquiry or planning process; or
become a client of Rebecca Barnett Weddings.
I may also receive information from your partner, another person involved in your wedding, or a wedding supplier where this is relevant to your enquiry or the delivery of my services.
My website may also collect technical information about how visitors use it through Squarespace Analytics and Google Analytics. Further information is available in my Cookie Policy.
HOW AND WHY I USE YOUR INFORMATIONI only use personal information where I have a valid reason to do so.
Responding to enquiries
I use the information you provide to respond to your enquiry, provide information about my services, arrange an initial consultation and prepare a proposal.
The lawful basis for this processing will generally be taking steps at your request before potentially entering into a contract and, where appropriate, my legitimate interests in responding to genuine business enquiries and operating my business.
Providing wedding planning services
If you choose to work with Rebecca Barnett Weddings, I use your personal information to administer your booking and provide the wedding planning services you have asked me to provide.
This can include managing your project, communicating with you, arranging appointments, liaising with wedding venues and suppliers, managing plans and timelines, preparing documents, administering payments and carrying out my obligations under our Service Agreement.
The lawful basis for this processing is primarily that it is necessary to perform our contract.
Business administration and record keeping
I may use and retain information for accounting, tax, insurance, legal, security and general business administration purposes.
The lawful basis may be compliance with a legal obligation and/or my legitimate interests in managing, protecting and keeping appropriate records for my business.
Improving my website and services
I may use website analytics to understand how visitors find and use my website and to help improve its performance, content and user experience.
Where cookies or similar technologies require consent, these will not be used unless you have made the relevant choice through my cookie banner. You can change your cookie preferences at any time using the Cookie Settings option on this website.
I do not currently operate an email marketing list and I will not add you to a marketing mailing list simply because you have made an enquiry.
WHO I SHARE YOUR INFORMATION WITHI do not sell your personal information.
I use carefully selected third-party services to operate my business. Depending on your interaction with Rebecca Barnett Weddings, your information may be processed using services including:
Squarespace, which hosts and operates this website;
Google Workspace, including Gmail, Google Drive, Google Calendar, Google Meet and related services;
Aisle Planner, which I use for enquiry, booking and wedding project management;
Acuity Scheduling, which is used to arrange consultations and appointments;
WhatsApp, where you choose to communicate or hold a consultation using that service;
Canva, where relevant information may be included in documents or design materials created for your wedding;
Wise, where relevant to payments or financial administration; and
Instagram/Meta, if you choose to contact me through Instagram.
Where necessary to provide wedding planning services, I may also share relevant information with venues, wedding suppliers and other professionals involved in your wedding. I only share information that is reasonably necessary for the relevant purpose.
I may also disclose information where required by law, to professional advisers such as my accountant, insurer or legal adviser, or where reasonably necessary to establish, exercise or defend legal claims.
INTERNATIONAL TRANSFERSSome of the technology providers I use operate internationally or may process information outside the United Kingdom.
Where personal information is transferred internationally, I rely on the safeguards and transfer mechanisms required by applicable UK data protection law and, where relevant, the safeguards put in place by the service provider.
HOW LONG I KEEP YOUR INFORMATIONI do not keep personal information for longer than I reasonably need it.
As a general guide:
information relating to enquiries that do not result in a booking will normally be retained for up to 24 months after the last meaningful contact;
client, contractual and project records may normally be retained for up to 7 years after completion of the relevant wedding or termination of the contract, where appropriate for business, legal, insurance or record-keeping purposes;
financial and tax records will be retained for the period required by applicable law and HMRC requirements; and
information may be retained for longer where there is a legal requirement, dispute, complaint, insurance matter or another legitimate reason requiring this.
At the end of the appropriate retention period, information will be deleted or securely disposed of where it is no longer required.
PHOTOGRAPHS AND WEDDING IMAGERYWith appropriate permission, I may feature photographs from weddings I have planned on my website, portfolio and business social media.
Wedding photographs are only used where the necessary permission has been obtained from both the couple and the photographer, as appropriate. Copyright in professional photography normally remains with the relevant photographer unless otherwise agreed.
Where couples are identified alongside portfolio imagery, I aim to limit the personal information displayed and will generally use first names or initials rather than unnecessary identifying information.
KEEPING YOUR INFORMATION SECUREI take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.
Personal information may be stored within password-protected business systems and trusted cloud services used to operate Rebecca Barnett Weddings.
No internet-based system can be guaranteed to be completely secure, but I take the protection of client and prospective-client information seriously and review the systems I use as my business develops.
YOUR DATA PROTECTION RIGHTSDepending on the circumstances, UK data protection law gives you rights in relation to your personal information. These can include the right to:ask for access to the personal information I hold about you;
ask me to correct inaccurate or incomplete information;
ask me to delete your personal information in certain circumstances;
